Launching an Agency Team with WealthSmyth

How to set up your team for success in WealthSmyth

This guide shows agency leaders and operations managers how to launch their team on WealthSmyth. This guide is all about giving you and your team the tools they need to onboard faster, stay accountable, and run your business system with confidence — so you can recruit and produce more effectively at scale. We recommend following these steps in order to unlock the best experience.

We’ve broken it up into sections:

How to set your team up for success with WealthSmyth?

WealthSmyth isn’t just a system—it’s a tool for duplicating yourself.

Invite your team early. The platform delivers a personalized experience based on each person’s stage of professional development—so they always have a clear next step and get better every day.

It cuts down admin work and frees up more time for money-making activities—so you can focus on recruiting, selling, and leading.

Your job isn’t to do it for them. It’s to meet people where they are, encourage effort, and match their pace. Some will take off. Others may need coaching. Let WealthSmyth show you who’s ready for more.

Set up agency operations

The first step is importing your team data. This powers clean reporting, personalizes dashboards by role, and ensures everyone gets the right onboarding experience.

We’ll help you move your data into WealthSmyth—so you can eliminate spreadsheets and run everything from one system.

To get the most out of WealthSmyth, define how it fits into your agency’s operational rhythm:

  • Will it be the single source of truth for recruiting and production?

  • Will all new agents use it for onboarding and field training?

  • Will everyone capture client notes and experience inside the system?

  • How will it support your weekly team meetings or 1-on-1 coaching?

Train the trainers

The next step is to get your leaders and trainers ramped up. These are the people who will run your system in WealthSmyth and support your team — not just during the launch, but every day after.

The Train the Trainer session prepares your leaders to be confident in how the system works for the Team Workshop — where the full rollout happens.

Get Started:

  1. Send the email below with the correct date for your session

  2. Post the Announcement online for your team

Subject: Train the Trainer: We’re Rolling Out WealthSmyth

Hey Leaders,

I wanted to give you a heads-up on something exciting we’re rolling out: WealthSmyth is officially becoming our system for prospecting, onboarding, accountability, and growth.

This is going to replace the patchwork of spreadsheets with one simple, powerful platform. The goal is to help our team:

  • Onboard faster

  • Stay accountable to daily activity

  • Track contacts, appointments, and deals with clarity

  • Run our business system with confidence

  • And ultimately—recruit and produce more effectively

Before we launch to the full team, I want your input. You’ll be receiving an invite to the tool as well as a quick Leader Training Session on [insert date/time] to walk through the platform and answer any questions.

What I’d love from you:

  1. Preview the tool once you get access this week.

  2. Bring your feedback and any questions to the training session.

  3. Help me model the behavior and lead from the front when we roll this out team-wide.

We have a real opportunity to create clarity, speed, and consistency across the board—and I’m counting on you to help shape how we do it.

Let’s take this next step together.

Get Started:

  1. WealthSmyth invites your team (to sign up) and sends pre-work

  2. Post a GroupMe (or Facebook) announcement

  3. Send a quick explainer email with what to expect

How to send invitations (to sign up):

WealthSmyth Automatically Sends Sign-up Invites and workshop prep materials 7–10 days before your Team Workshop. These are separate from the calendar invite. You can also send them earlier if you prefer.

Set regular team check-points

About 2–3 weeks after your team launch, schedule a Success Check Point with the WealthSmyth Success Team. We can join your regular team meeting or host a separate session—whatever works best. This is a chance to answer questions, gather feedback, and make sure your team is getting the most out of the platform.

We also host daily user success meetings—so your agents and leaders always have a place to get questions answered and stay on track.
