What Triggers a Client Record?
The moment a Lead is converted into a Deal, WealthSmyth automatically creates a Client Record. This becomes the central hub for everything about that individual or household—giving you a complete view across product, relationship, and financial data.
The Client Record: What’s Inside?
Each Client profile contains detailed sections to help you keep your client files organized, collaborative, and ready for long-term service:
Profile: Basic contact info, birthdate, marital status, and address
Client Notes: Meeting summaries, preferences, financial background, and key life updates
Attachments: Securely upload and store financial plans, product illustrations, and signed forms
Retirement Goals: Capture income targets and retirement timing
Insurable Need: Use the DIME method to calculate insurance requirements (Debt, Income, Mortgage, Education)
Relationships: Map out spouses, children, beneficiaries, financial support, legal support and other decision-makers
Financial Accounts: Document 401(k)s, IRAs, pensions, and bank assets

Client Lead Stages: From Discovery to Illustration
Your Client Progression starts with the Lead pipeline for Client leads, which includes five stages:
Stage | Description |
New | You’ve identified a lead, but haven’t contacted them yet |
Working | Outreach, research and profiling has started |
Appointment Set | A meeting is scheduled |
Appointment Done | The meeting happened—notes should be added |
Converted | The lead agrees to move forward with an Illustration |
Converted leads move into the Deal pipeline, and that’s when a Client profile is created.
Deal Stages: From Illustration to Issued Policy
Deals progress through 8 structured stages that reflect the real-world underwriting process and help agents stay organized:
Stage | Description |
Illustrated | A policy illustration has been completed, but not yet signed or submitted |
Pending | The case is signed and submitted to the carrier |
In Review | The application is in medical or suitability review |
Declined | Carrier or compliance has declined the application |
Approved | Case is approved, awaiting funding |
Pending Funding | Funds not yet received by the carrier |
Closed Won | Policy is in force, commissions paid |
Closed Lost | Client decided not to move forward |
Each of these stages is tracked in your Deals tab, with automatic updates reflected in the Client record and analytics dashboards.
