Leads are where business begins—whether you’re helping families with protection and retirement strategies or growing a winning team. WealthSmyth gives you a simple, structured way to manage and convert your leads with confidence.

In WealthSmyth, Leads come in two types:

  • Client Leads – potential clients for life insurance or annuities

  • Recruiting Leads – potential agents or referral partners who may join your team

Both types of Leads follow the same 5-stage progression designed to guide your early engagement workflow and track your business growth in terms of production or team size.


How Contacts Work in WealthSmyth

Behind every Lead, Team Member, Client, and Relationship is a Contact record. In WealthSmyth, Contacts aren’t managed separately—they’re simply the starting point for every person in your system.

A Contact represents the individual, while the Lead, Team Member, Client, and Relationship represents their current role in your business. As a Contact progresses through your system, their associated records evolve—without duplication.


How We Match Contacts Automatically

When you create a new Lead, Deal, Client, Team Member, or household Relationship, WealthSmyth checks to see if a Contact already exists using their email address.

  • ✅ If a Contact with that email already exists, we link the new record to the existing Contact.

  • 🆕 If the email is not yet in the system, a new Contact is automatically created.

This keeps your CRM clean and unified—so you never end up with duplicate people in different parts of your pipeline.


Ways to Add Contacts:

  • Manually: Individually add a Lead, Deal, Client, Team Member, or Relationship with basic info and an email address

  • CSV Import: Bulk upload from the Actions menu on the respective pages

  • iPhone Sync: Use the WealthSmyth app to import from your mobile contact list

Once imported, Contacts are linked across all associated records, including Leads, Deals, Clients, Team Members, and household Relationships.


The 5 Lead Stages

Stage

What it means

New

A lead has been identified and added to the system, but no contact has been made yet.

Working

Outreach is in progress (text, call, DM, or email).

Appointment Set

A meeting has been scheduled with the lead.

Appointment Done

The appointment has occurred. Now it’s time to record notes and determine interest.

Converted

The lead has agreed to move forward—either as a Deal (client) or a Team Member (recruit).

These stages help you sort, prioritize, and track every person in your pipeline.


Conversions: Moving a Lead Forward

Once an appointment is complete and the lead is ready to move forward, you’ll convert them into the next phase of the pipeline.

From the Actions menu on the Leads page, you can:

  • Convert to Deal: For Client Leads who want to move forward with a policy illustration

  • Convert to Team Member: For Recruit Leads who register with your Distributor (IMO, MGA, etc.).
